Every time a customer purchases at your store, data is generated. The items sold, the price paid, the payment method used, the time of transaction, and even the staff member who handled the sale are all captured by your POS system.

What Happens When a Sale is Made

Step 1: The transaction begins

A customer brings items to the checkout counter. The cashier scans each barcode or selects products from the on-screen catalogue. For each item, the POS system instantly retrieves relevant product information, including descriptions, pricing, stock availability, and any active discounts or promotions.

Step 2: Data is recorded in real time

As each item is scanned, the system records:

  • The product SKU and description

  • The quantity purchased

  • The unit price and extended amount

  • Any discounts applied to that specific item

This data is stored temporarily in the system's active memory, building the transaction line by line.

Step 3: The transaction is completed

The cashier totals the sale, selects the payment method (cash, card, gift card, or mobile payment), and processes the payment. At this moment, the POS system:

  • Finalizes the transaction total

  • Records the payment method and amount tendered

  • Captures the date, time, store location, register number, and cashier ID

  • Saves any customer information (loyalty ID, email, or phone number)

Step 4: Data is committed to storage

Once the transaction is complete, the system permanently saves all transaction data to its database. Depending on the POS system type, such as on-premise, cloud, or hybrid, this data is stored locally, uploaded to the cloud, or both.

Step 5: Inventory and customer records update

Behind the scenes, the system also:

  • Deducts each sold item from current inventory levels

  • Updates the customer's purchase history (if a loyalty account was used)

  • Adds loyalty points or tracks spending for future rewards

All of these steps are executed in real time as the transaction is processed.

From the cashier's and customer's perspective, it's a simple transaction. Behind the screen, a complete record of that sale has been captured, stored, and used to update other parts of the business in real time.

Centralized Database Structure

Regardless of where data is stored, it's organised in a centralized database. Think of it as a filing cabinet with separate drawers for different types of information:

  • Products table: SKU, description, cost, price, supplier, category

  • Transactions table: Receipt number, date, time, store, cashier, total amount

  • Transaction lines table: Which products appeared on which receipts

  • Customers table: Name, contact info, loyalty ID, purchase history

  • Payments table: How each transaction was paid for

These tables are linked by unique identifiers such as a receipt number, allowing the system to quickly pull related information together when needed. This structure is what makes reporting fast and accurate.
